This notice applies to the robotic cleaning inspection system operated in this hotel. It does not cover other data processing activities of the hotel itself. For information about how the hotel handles your personal data, please refer to the hotel’s own privacy notice.

What is this system and why does it use a camera?

We develop robotic systems that assist hotels in verifying the quality of room cleaning. The robot is equipped with a camera used exclusively for two purposes:

  • Navigation – to move safely through hotel corridors and into rooms

  • Cleaning verification – to check that rooms meet defined cleanliness standards

The system is not designed to monitor guests or staff, and we take extensive technical and organisational measures to avoid capturing personal data wherever possible.

  1. What personal data may be processed and why?

Although the robot is not intended to record personal data, in stay-over rooms (rooms occupied by guests during a multi-night stay), there is possibility that the camera may incidentally capture:

  • Images of individuals: A guest or staff member present during inspection

  • Identifiable personal items: ID documents, name badges, device screens

Where any such data is captured, this occurs incidentally and unintentionally. All technical measures described below are designed to minimize or eliminate such capture.

  1. What is our legal basis for processing?

Where personal data is incidentally captured, we rely on legitimate interests (Art. 6(1)(f) GDPR) as our legal basis. Our legitimate interest is to provide hotels with a reliable, technology-assisted cleaning quality control system. We have carefully balanced this interest against your rights and have concluded that the extensive technical and organisational safeguards we implement (see below) ensure that any impact on your privacy remains minimal, incidental, and short-lived.

  1. How long is data retained?

We apply strict data minimization principles:

  • In hotel corridors: Video is processed in real time only and is not stored.

  • Inside rooms: Any footage is deleted automatically and without delay as soon as the inspection purpose has been fulfilled. Usually, video footage is deleted immediately after inspection within 24 hours. 

  • Data is never retained longer than strictly necessary for the operational purpose.

  1. What safeguards do we apply?

We implement the following technical and organisational measures to protect your privacy:

  • Technical measures

    • Cameras are directed toward the floor or areas with the lowest likelihood of capturing people

    • Automatic blurring or masking of faces, bodies, documents, and device screens

    • No facial recognition, person tracking, or individual identification features

    • Immediate automatic deletion of any frames incidentally capturing personal data

  • Operational measures

    • Inspections are scheduled to take place when rooms are expected to be unoccupied

    • Presence detection are used before entry where feasible

    • Access to any video data is restricted to a small number of trained staff only

    • No continuous live monitoring by human operators

  1. Who receives your data?

Access to any incidentally captured footage is strictly limited to authorized personnel who require it for operational or compliance purposes.

We may share data with technical service providers (e.g. hosting providers) acting as data processors under written data processing agreements in accordance with Art. 28 GDPR.

  1. Are data transferred outside the EU/EEA?

Currently, all data is processed and stored within the EU/EEA.

Where personal data is transferred to countries outside the EU/EEA, we ensure appropriate safeguards are in place, such as standard contractual clauses. Details are available on request.

  1. Your rights

Under the GDPR, you may have the following rights in relation to your personal data subject to the legal requirements:

  • Right of access – to obtain confirmation of whether your data is processed and to receive a copy

  • Right to erasure– to request deletion of your data

  • Right to restriction– to request that processing be limited in certain circumstances

  • Right to object  – to object to processing based on legitimate interests

  • Right to data portability– where applicable

Please note: Because data is captured only incidentally and is processed or deleted very rapidly, it may not be possible for us to identify whether a specific individual was recorded. If we are unable to identify you from the information provided, we will inform you accordingly. 

You have the right to lodge a complaint with the data protection supervisory authority.
